The staff app, page by page
Everything the app does for you, in plain English. Each section below is one page of the app — what it's for, what the buttons do and what happens after you tap them. Jump straight to the bit you need.
Getting started
Your workplace invites you by email. You set your own password once, then you sign in from the same web address every time — there is nothing to download from an app store.
- Your invitation email
- Tap the link in the email, type a password twice (tap the eye icon if you want to check what you typed) and confirm. That password is yours — nobody at work can see it.
- Signing in
- Go to evantra.co.uk/login and choose Staff. Enter your email and password. If you forget it, tap Forgot password and you'll get a reset link by email.
- Add it to your home screen
- In your phone browser choose Share, then Add to Home Screen. It then opens full-screen like a normal app and stays signed in.
- The bell and the menu
- The bell at the top shows anything new for you — a task, an update, a meeting or a training reminder. The menu takes you between the pages below.
Good to know — If a page ever looks stuck, pull down to refresh — the app reloads the latest information from your workplace.
Today
Your home page. It answers one question: what do I need to do right now? Everything on it is only what applies to you, today.
- Open now
- Anything live at this moment — a shift you can clock into, a check that is due, a task with today's deadline. Tap any card to go straight into it.
- Later today
- Things coming up in the next few hours, so you can plan around them instead of being surprised.
- Training waiting
- Courses you still need to finish. Tap through and you land on the exact lesson you left off at.
- Nothing showing?
- That's good news — it means you're fully up to date. New items appear here automatically, you don't need to check anywhere else.
My Shifts & clocking in
Your rota and your time clock in one place. This is the page you'll use most — it shows when you're working and it's where you clock in, take breaks and clock out.
- The weekday strip
- Tap any day of the week to see the shift for that day. A dot means you're scheduled. Tapping today brings you back to now.
- Clock in
- When your shift is close, a big Clock in button appears. One tap and you're on the clock — the time is recorded for you, so there's no paperwork.
- Breaks
- Tap Start break when you step away and End break when you're back. If your shift has a planned break, the time is shown in brackets so you know what's expected. If you forget to end a break, it closes automatically when you clock out.
- Clock out
- Tap Clock out when you finish. The page then shows your hours for that shift so you can check it looks right.
- If you arrive early or late
- The app still lets you clock in — it simply notes the time. Your manager sees the real times and can add a note. You never lose time by being honest.
- If you forgot to clock in
- For a short window after your shift ends you can still record that you worked, then tell your manager. After that window, ask your manager to add it for you.
- This Week
- A running total of the hours you've worked this week, and your pay so far where your workplace has enabled it.
Good to know — Some workplaces only allow clocking in on site, or on the shared kiosk tablet. If the button says you're not in the right place, use the kiosk or ask your manager.
Tasks & Updates
Everything your workplace has asked you to do or read, in one list, newest first.
- My Tasks
- Jobs assigned to you with a due date. Tap one to see the detail, add a note or attach a photo or PDF as proof, then mark it done. Once it's done it drops off your list.
- Updates
- Announcements from your workplace — news, reminders, menus, photos or documents. Anything unread is marked so you can see at a glance what's new.
- Reacting to an update
- Tap the thumbs-up at the bottom right of any post to pick an emoji. It's a quick way to show you've seen it and to join in. Tap the reactions to see who reacted.
- Schedule
- Meetings you're invited to, so you don't need to hunt through your inbox.
Company Hub
The social side of the app — your workplace's noticeboard. Posts, photos, files and who's on today.
- Reading posts
- Scroll the feed for anything shared with you or your team. Attachments open right in the app — tap a photo to see it full size, tap a PDF to read it.
- Posting
- If your workplace lets you post, tap New update, write your message (or just attach a photo — text is optional) and choose who sees it: everyone or specific teams.
- Today's schedule
- See who is working today, with three days either side, so you know who's around before you ask.
Training
Your courses. It tracks what you've done and what's still waiting, so nothing quietly expires.
- Waiting for you
- Courses assigned to you that aren't finished. Tap one to start or carry on — your place is saved, so you can do a few minutes at a time.
- Completed
- Everything you've passed, with the date. If a course needs redoing each year, it reappears in your list before it runs out.
- Your certificate
- When you pass, a certificate is generated and kept in your Documents — you never have to store a copy yourself.
Health & Safety checks
The day-to-day checks your workplace runs — temperatures, opening and closing routines, cleaning, equipment.
- Assigned to you
- Checks that are yours to complete, with the time window they're due in.
- Open to everyone
- Checks anyone on shift can pick up. Whoever gets there first completes it.
- Doing a check
- Tap Start and answer each question as you go — yes/no, a number, a note or a photo. A Start button only appears while the check is actually due.
- After you submit
- It's saved with your name and the time, and goes to your manager to review. If something failed, they're alerted straight away.
Good to know — Checks are designed for one hand on a phone — big buttons, one question at a time, no pinching or zooming.
Documents
Your personal file drawer. Anything to do with you, that you can read any time without asking.
- Forms
- Anything you've been asked to read, complete or sign.
- Contracts
- Your contract and any changes to it, with the date each one was issued. Sign on your phone where a signature is needed.
- Certificates
- Training certificates and licences held on file for you. Tap to view or download a copy.
Calendar
One month or week view of everything that involves you — shifts, meetings, deadlines and training due dates.
- Moving around
- Swipe or use the arrows to change week or month. Tap a day to see what's on it.
- Meeting detail
- Tap a meeting to see the time, place, who else is invited and any notes added afterwards.
Performance
Your reviews, in your own words as well as your manager's — nothing here is a surprise.
- Your current review
- See where it's up to. If it's your turn to fill something in, the page tells you exactly what's needed.
- Previous reviews
- Every past review stays available to read back, with dates, comments and any goals you agreed.
My Profile
Your own details and settings.
- Your details
- Name, role, start date and length of service. If something is wrong, tell your manager — some fields are theirs to change so records stay accurate.
- Clock-in PIN
- The short code you type on the shared kiosk tablet. You can change it here at any time. Keep it to yourself — it's how the kiosk knows it's you.
- Notifications
- Choose what you get told about — tasks, meetings, checks, announcements and updates. Turning one on sends it to your phone and puts it in the bell inside the app.
- Signing out
- Sign out from the bottom of this page. On a shared phone, always sign out when you finish.
Still stuck?
Every page inside the app has a small question-mark icon next to its title. Tap it for a short explanation of that exact page. If something still doesn't look right, speak to your manager — they can see and fix your shifts, tasks and records.
